Please note when making a booking with Gloss House:
•A valid credit or debit card is required when making your appointment to secure the time and date.
• 24-hours notice is required to cancel or amend an appointment. If you cancel within 24 hours of your appointment a 50% cancellation charge will be applied before the close of business that date. If you fail to show for an appointment (without any prior notice given), a 100% cancellation charge will be applied before the close of business that day.
•The charge will be made automatically, without notification. Please note for all online bookings made, this applies automatically in the event you do not show for the appointment.
•All online bookings are made through a third-party bookings service provider. Completion and payment of the online booking deposit it is considered that you have accepted the associated terms and conditions including our 24 hour cancellation policy.
•Payment of a 30% online deposit is charge by our third party service provider for security of all online bookings.
•This deposit is automatically deducted from the cost of the treatment
•If the treatment is rescheduled within the set cancellation period the deposit is held by the booking system for use for the next transaction if the same service is rebooked.
•If the transaction is altered or amended in salon the booking deposit is automatically refunded.
Please arrive at the time agreed. We ask that you wait outside until your appointment time, where possible.
Please wear a face mask on arrival, if you do not bring a face mask we will provide you one at a charge of €1.50.
Please sanitise your hands with the provided hand sanitizer on arrival.
For refreshments at this time we are delighted to offer complimentary single-use bottled water.
All appointments must be paid by card only, we will not be exchanging cash on site. We cannot offer cash back for any purpose, including gratuities and we apologise for any inconvenience this may cause.
After your service, please exit your station and check out at our front desk. We unfortunately cannot provide a waiting area to dry at this time, as our team will need time to deep clean the station in preparation for the next client. We suggest a long-lasting gel polish as an alternative.
Our team will wear gloves, masks and visors where applicable for the service and on the salon floor. All team members will wash their hands before and after each client service.
Any fungal/bacterial infection found on the hands and/or feet will be considered a contraindication to treatment. We will be unable to treat these cases.
Maintaining a peaceful and relaxing space for our clients is of paramount importance. We cannot accept bookings with young babies or small children to accompany you during a service.
We hope we can look after you in the comfort of our peaceful surroundings.
1. Gloss House gift vouchers do not expire and remain valid from the date of issue until the final balance is used.
2. Gift vouchers must be presented at time of payment; gift voucher numbers or photographs of gift vouchers are not valid.
3. All gift vouchers purchased at Gloss House are Non Refundable and cannot be exchanged for cash.
4. Gift vouchers that are lost or stolen cannot be replaced or cancelled, once the voucher has been purchased, it becomes the responsibility of the person who purchased it.
5. As Gloss House gift vouchers do not expire, there is no requirement to use the full amount in one transaction. In the event that a voucher is used in part for the payment of a product or service the balance will remain on your Gloss House Gift Voucher for use at a later date.
Gloss House Treat Card Scheme
1. Gloss House Treat Card points are issued at 1 point per €1 on all treatments and retail products, rounded to the nearest euro.
2. Points can only be redeemed on the treatments or products that are auto generated by the system that is used in salon
(i) Gloss House employees do not have the ability to amend the product or service on which the points may be redeemed in any way.
3.You can apply to register in-store, to become a Gloss House Treat Card member and earn points on qualifying treatments and purchases in any of our branches.
4. Points are only issued while making a purchase. Therefore, your Gloss House Treat Card must be presented at check out for the points to be issued.
(i) Points can only be issued retrospectively on in-branch treatments or purchases, if a valid till receipt is presented within 2 months of the original purchase along with the Gloss House Treat Card, in store only.
5. Points can only be redeemed for a treatment or product during a paid visit and can not be the sole purpose of a client’s visit or cannot be used for part payment of a product or service.
6. The Gloss House Treat Card is a promotional card which purports to an offering of select rewards at the discretion of the company and not a cheque guarantee card, debit or credit card and therefore holds no monetary value to the effect of the ordinary meaning or equally to the effect of monetary value in the perspective of any discounts for/against products or treatments.
7. The Gloss House Treat Card is not transferrable and is linked to individual personal information and therefore can only be awarded to bookings made under the corresponding contact number.
(i) For group bookings all points are awarded to the Gloss House Treat Card that is registered with the contact number provided if the group pays in one single transaction.
(ii) Group members who are part of the Gloss House Treat Card scheme that did not make the booking and wish to claim loyalty points must supply their contact number and present their individual loyalty card at the time of check in or prior to check in only.
8. Gloss House is under no obligation to award points for any reason outside of qualifying transactions.
(i) Gloss House is entitled to remove points at any time if a client cancels less than 24 hours before their appointment in line with the company’s standard cancellation policy.
(ii) Points will be automatically deducted in the event of a permitted refund given.
(iii) In the event of an exchange of a product, the amount of points will be relative to that of the final purchase price, be that equal to, higher or lower than the original purchase.
•The Gloss House Treat Card scheme is owned and operated Gloss House.
(i) Treat Cards are issued by and remain the property of Gloss House and must be returned on request or destroyed when no longer valid for use.
2. These Term and Conditions govern the collection and use of Gloss House points and set out the terms of the contract between you and Gloss House.
4. Use of the Gloss House Treat Card implies acceptance of these Terms and Conditions of use.
5. These terms and conditions are correct as of 1st October 2020.
6. Gloss House reserves the right to change these Terms and Conditions, at any time, on reasonable notice for legal, regulatory, business or policy reasons.
(i) Members of the Gloss House Treat Card who continue to participate in the Gloss House Treat Card scheme following notification of such a change will be considered to have accepted the updated terms and conditions.
7. Gloss House may suspend, terminate, alter or amend the conditions of operation of the Gloss House Treat Card scheme at any time at our sole discretion and for any reason. In such event members will be notified appropriately.
8. The Gloss House Treat Card scheme is only for personal and consumer use. Gloss House Treat Card cannot be used for any business transaction or purpose.
9. Points will not be issued on the purchase of Gift Vouchers, courses or postage and packing, or any other potential ancillary purchases that do not relate directly to the purchase of salon services or retail products.
Rights and Responsibilities of the Member
1. Gloss House Treat Card members can choose to leave the Gloss House Treat Card at any time, however, will lose the right to any points, vouchers or promotional codes already accrued or issued
2. Upon registering to become a member of the Gloss House Treat Card you are required to provide your name, address, email address, contact number and marketing preference.
(i) You are responsible to ensure that the personal details you provide are correct, complete and not inappropriate in any way.
(ii) You agree to inform us immediately of any changes to the information that you provided when registering, which may be updated in salon at any time.
(iii) Gloss House cannot be held responsible for any loss of points incurred as a result of incorrect or out of date details as this is the sole responsibility of the member.
4. You are responsible for all activities that occur using your Gloss House Treat Card
(i) If you have any reason to believe that your Gloss House Treat Card account is being, or is likely to be, used in an unauthorised manner you are encouraged to contact the salon as soon as possible.

HOW DO WE PROCESS DATA?
Gloss House processes personal data in relation to:
Employees: Staff employed at Gloss House have provided personal data to our HR department for the purpose of employment. We may hold educational, financial and contact data, in addition to references, employment history and health data, if necessary.
Clients: Clients of Gloss House have provided personal data to our Front of House Team for the purposes of booking appointments at our nail studio. It is necessary for us to have up-to-date contact details for each client in the event that any unforeseen circumstance affects your appointment, and we need to get in touch. We also use this information to maintain our standard of excellent customer service and care. Clients can opt-out of communications at any time. We also collect sensitive medical data if it is relevant to a particular treatment you have requested.
PERSONAL DATA COLLECTED
The personal data that we collect are;
SPECIAL CATEGORIES OF PERSONAL DATA COLLECTED
Health questions are asked in many of our consent forms to potentially highlight treatments that may have a negative effect on your health due to medication you are taking or a condition you have. Gloss House asks for consent prior to gathering and processing this information. At any time after giving consent, you can withdraw your consent, subject to legal, insurance and contractual restrictions (see more on ‘your rights as an individual’). Your privacy is very important to us and we only use this information for determining your suitability for the treatment.
Gloss House does not collect the personal data of children under the age of 16 without parental or guardian consent. If you believe that we hold any information from or about a child under age 16, please contact us, and if we cannot immediately obtain appropriate parental or guardian consent, will remove the personal data from storage.
PURPOSE AND LEGAL BASIS FOR COLLECTING YOUR DATA
Gloss House takes your privacy very seriously, and we will never sell or rent your personal data to any third-party. Sharing of your data and direct marketing activities are only carried out with your express consent, which you are free to withdraw at any time.
We need to obtain and process your personal data to provide you with our products, services and treatments and to fulfil our business and legal obligations. We will never collect any personal information from you that we do not need or retain any data that is no longer necessary for the purposes specified in this notice.
Where we request sensitive personal data from you (i.e. health or medical data), the reason(s) for the request will be clearly given along with the purposes of the processing. Explicit consent through a signature will always be required for us to obtain and process your health information.

You can always choose not to provide personal information; however, we will be unable to provide certain products, services and treatments in these instances.

Phorest, Anglesea Mills, 9 Anglesea Row, Smithfield, Dublin 7, D07 W5NE, Ireland, acts as Data Processor on behalf of Gloss House, and have access to personal information only in cases that customer support or trouble shooting is required by Gloss House. Further, they must process the personal information in accordance with this privacy notice and as permitted by applicable data protection laws.
WHY DO WE PROCESS YOUR DATA?
Your personal data is processed to;
Collect specific personal data (name, address, email, contact number, DOB) that is required to enter into a contract to sell a product or service.
Engage in communication with you including confirmation and reminders of appointments, and requests to cancel or change bookings.

Suppliers: Third party vendors or contractors may have provided personal data to Gloss House for the purposes of a single or ongoing business transactions. This information will be retained in line with statutory financial obligations.
WHERE DID WE GET YOUR DATA FROM/ WHAT DO WE DO WITH YOUR INFORMATION?
We get data from you when:
You apply for a position or come and work for Gloss House; when you contact us about availing of our services; or when we complete a business transaction with you as a supplier of products or services.
Your personal data is collected when you provide it to us through Phorest software, our website, over the phone, in our salons, by email, social media, in writing or any other means by which you provide it to us. Information is stored using the Phorest software platform as well as some level of paper record keeping. Gloss House gives you access to information about your account and bookings through Phorest Software, for the limited purpose of viewing and updating that information ensuring the information we hold is correct and up to date.
Our website logs IP addresses, browser types and length of user sessions for administration purposes. We use your IP address to help diagnose problems with our server, to administer our website and to help improve the quality of service available on the site. Your IP address is used to gather broad demographic information. We do not link IP addresses to anything personally identifiable. This means that a user’s session will be tracked, but the user will be anonymous.
If you fill out a form requesting more information from Gloss House we ask that you provide your name, an email address and comments etc. We require these details to better understand the needs of visitors to this website and in order to provide any requested information promptly.
In the case of the above, Gloss House maintains a database of information which may be held and used by us for purposes such as user profiling, administration, marketing research and to inform you about our services generally.
Our website may provide links to other sites. Privacy policies on these sites may differ from that on our site, and we advise that you review the other site’s policies before providing personal information. While every care as been taken to ensure the high quality and standards of sites to which we link, Gloss House can take no responsibility for the content of these sites.
Our website has security measures in place to protect the loss, misuse and alteration of the information under its control. Information held by this site is stored on password protected machines, behind a firewall and not accessible to the general public via the Web.
SAFEGUARDING YOUR PERSONAL DATA
Appropriate measures are taken to protect your personal data from access from unauthorised persons or inappropriate access, internal or external. Your connection to the Phorest system uses a HTTP secure communication protocol and TLS security. This means all information passes to the Phorest system is encrypted during data input and transfer to the cloud. Any paper files recording your personal data are held locked in a filing cabinet or safe which can only be accessed by authorised personnel in the salon. Employees are only assigned specific access rights and can only access the salon software with the PIN number assigned to them by the management of the salon.
Marketing: With your permission, we may send you SMS or Emails about our salons, new products and other Gloss House news.
How do you get my consent?
If we ask for your personal information for a secondary reason like marketing, we will either ask you directly for your expressed consent, or provide you with an opportunity to say no.
If after you opt-in, you change your mind, you may withdraw your consent for us to contact you for the continued collection, use or disclosure of your information, by contacting us at email@example.com.
HOW LONG DO WE KEEP YOUR DATA FOR?
Employees: We will retain your personal details as a past, current or future employee in line with employment law.
Clients: Gloss House retains your personal data for as long as necessary to provide you with our services as our client. Gloss House are required under tax laws to keep your personal data for a minimum of 7 years. Health and Safety records will be retained for 10 years and where we have your consent for marketing purposes, we will retain the minimum required data until you notify us that you no longer wish to receive such information. The criteria for which we would continue to process your personal information includes;
Where there is a legal basis, obligation or legitimate interest to continuing processing your personal information
Where processing is necessary for the establishment, exercise or defence of legal claims
We currently monitor our active database, and archive the details of clients who have not availed of our services for 5 years continuously.
Suppliers: We retain the personal data of any suppliers for as long as deemed relevant and legally necessary.
WHERE DO WE KEEP YOUR DATA/ TRANSFERS OF PERSONAL INFORMATION
When your personal data is processed through Phorest software, all of it is held within the EU. Your information is processed by the Phorest software and stored in the Amazon Web Service cloud. During this process your data is encrypted in transit and at rest.
DO WE SHARE YOUR DATA?
We may be legally obliged to share your data with government agencies, for example for employment or financial compliance. We may also have interfaces with software providers that allow them to access your personal data. These situations are on the basis of a third party data processor agreement which contain clear contractual safeguards for personal data.
Your personal data is shared only with Phorest representatives in cases that customer support and troubleshooting is required for the salon. Gloss House do not share your personal information with any third party without your prior consent, other than those already disclosed in this privacy notice or as part of our legal obligations under the relevant data protection laws.
USE OF DATA PROCESSORS
Data processors are third parties who provide some elements of our business services for us. Where we use a third-party, we have strict agreements in place governing the processing of your personal data, on which no action can be taken without instruction from us. The third-parties with whom we work will never share or disclose your personal information and will hold it securely at all times.
WHAT ARE YOUR RIGHTS AND WHO SHOULD YOU CONTACT?
